Where it fits, and where it does not

Most calls to a med spa, wellness studio, physiotherapy clinic or small practice front desk are administrative: are you open Saturday, where do I park, how much is a consultation, can I book a facial for next week, can I move my appointment. RAIMVOICE handles those — it answers from the details you approve and books, reschedules or cancels on your calendar.

It is not built for clinical conversations. The RAIMVOICE Terms of Use do not allow using it to collect health information protected by laws such as HIPAA, and RAIMVOICE is not offered as a HIPAA-compliant service. Configure the agent to take a name, a phone number and a preferred time only, and never to ask about symptoms, conditions, medications or treatment history.

Rules to give the agent

Write explicit instructions: do not give medical advice; do not ask why the caller wants the appointment beyond choosing the service from the menu; if a caller describes symptoms or asks a clinical question, say that a member of the team will call back and take only a callback number; if a caller describes an emergency, tell them to call 911 or go to the nearest emergency room. RAIMVOICE is not an emergency service and cannot route 911 calls.

AI can misunderstand. Human approval is designed in for anything with medical weight, and every call is transcribed — not audio-recorded — so staff can check what was said.

Who this is a good fit for

Aesthetic and wellness businesses whose booking is mostly menu-driven — med spas, massage and facial studios, IV and wellness lounges, fitness and physiotherapy studios — get the most from it, because their calls are about services, prices and times.

Practices whose phone traffic is mostly clinical — prescription refills, test results, triage — should keep those calls with trained staff and a system designed for protected health information. Use RAIMVOICE, if at all, only for the general scheduling line.

Questions and answers

Is RAIMVOICE HIPAA compliant?

RAIMVOICE is not offered as a HIPAA-compliant service, and its Terms of Use do not allow collecting HIPAA-protected health information. Use it for general scheduling only, without symptoms, conditions or treatment details.

Can it book med spa and wellness appointments?

Yes. Add each service with its length and price and the agent books, reschedules or cancels on your calendar.

What does it do if a caller describes an emergency?

It follows your instruction to tell the caller to call 911 or go to an emergency room. RAIMVOICE itself cannot place or route 911 calls.

Will callers know they are talking to an AI?

Yes. Eve and Adam identify themselves as AI. Calls are transcribed so you can read every conversation in the inbox, but the audio is not recorded. RAIMVOICE is not built to pass as a human receptionist.

Does it give medical advice?

No, and it should be instructed never to. Clinical questions should get a callback from your team.
