RaimCalls: AI Receptionist · An app by ECONTEUR LLC
RaimCalls privacy policy
How ECONTEUR LLC collects, uses, shares, keeps and deletes information when business owners and their customers use the RaimCalls app (formerly RAIMVOICE) and the servers it uses. Effective September 16, 2026; last updated October 7, 2026. The full text is on this page.
What the policy covers
Sixteen numbered sections: who we are, the information we collect, how we use it, AI processing, phone calls handled by AI, text messages and mobile information, service providers, how long information is kept, deleting your account, your data controls, your choices and rights, security, where information is processed, children, changes, and contact.
RaimCalls is a standalone app by ECONTEUR LLC. It shares its sign-in and servers with Raimovia, a separate web platform the same company operates, so an account created in either one works in both.
It covers two groups of people: the business owner who signs in, and the customers and callers the business talks to through RaimCalls. Customer information is handled for the business, which is responsible for having a lawful basis to contact those people.
Calls, texts and transcripts
RaimCalls answers and places calls and sends texts, WhatsApp, Telegram and email for the business. The AI phone agents, Eve and Adam, tell callers at the start of each call that they are speaking with an AI and that the call is transcribed. Calls are not audio-recorded; a text transcript and summary are stored in the business's account.
Outbound AI calls are placed only to numbers with a recorded record of prior consent. After-call and missed-call texts follow recorded consent and the owner's settings, and a number that replied STOP is never texted again. Texts are sent under Raimovia Customer Messaging: message frequency varies, message and data rates may apply, reply STOP to opt out or HELP for help, and consent is never a condition of purchase.
RaimVoice, voice samples, job photos and AI processing
When the owner talks to RaimVoice, the assistant in the app (formerly called Ovia AI), the microphone is used only during the live session, audio goes to OpenAI and is not stored, and a transcript and summary are kept. OpenAI processes AI requests as a service provider; the permanent key stays on our servers and the app gets a temporary key that expires after two minutes.
A voice sample is stored only after the owner accepts a written release. It is deleted immediately when the account is deleted, within 30 days after the voice profile is deleted, and automatically if unused for 12 months. On the Legacy plan the owner can choose My Voice Clone: only with separate, explicit consent is the owner's own recording sent to ElevenLabs to create a synthetic version of the owner's voice. Withdrawing that consent blocks new use at once, and we then delete the voice at ElevenLabs, which can take a short time to complete.
Job photos that the owner or a team member takes or picks for a customer's job are stored privately, are visible only to the owner and the team members assigned to that job, are not processed by AI, and are deleted with the account. The app opens the camera or photo library only when someone chooses to add a job photo.
Sharing, retention and deletion
Information is shared only with the providers that run the service: OpenAI, Twilio, Supabase, Neon, Railway, Apple, Google, Stripe, Paystack, Resend and Telegram, ElevenLabs only for an owner who turns on My Voice Clone, plus Google Calendar, Gmail and Business Profile if connected. Personal information is not sold or used for advertising, and text messaging opt-in data and consent are never shared with third parties.
Account and business records are kept until the owner deletes or clears them, an auto-delete period removes them, or the account is deleted. Deleting never shortens what the law requires: payment and other financial records, including de-identified quotes and bookings with a payment or refund, are kept for at least 7 years; records of automated messages sent and carrier delivery receipts for 4 years; consent records are kept; STOP opt-out records are kept even after an account is deleted; usage records for 400 days (about 13 months); and Download my data files are deleted 7 days after they are ready. Server logs are kept 90 days, and phone numbers are released 30 days after a plan lapses unless renewed.
What account deletion erases and keeps
Accounts are deleted in the app under Settings, Privacy & consent, Delete account. Most data is erased: the business, its customers, conversations and messages, call transcripts, bookings, quotes, documents, notes, automations, voice samples and stored files, and the business's own bookkeeping entries. Phone numbers are released. Deleting an account does not cancel an App Store or Google Play subscription.
A few records the law requires are kept de-identified — without names, message content, notes or email addresses — in a separate store under a new reference not linked to the business, each with a purge date: records of automated messages sent and their delivery for 4 years, consent records for 4 years, payments, memberships and billing and store subscription records for 7 years, usage records for 400 days, compliance audit log entries for 4 years and voice-sample release records for 3 years. STOP opt-out records are kept so opt-outs stay honored.
Your data controls
Without deleting the account, the owner can delete individual calls or just their transcripts, whole conversations or single messages, customers with or without their history, appointments, bookings, quotes, notifications, knowledge entries, documents, and RaimVoice voice sessions and reply drafts, or clear any category at once by typing "DELETE ALL". Deleting and clearing can't be undone. A call in progress or a live RaimVoice voice session can't be deleted until it ends. The shared demo workspace can be viewed and downloaded but not deleted or cleared.
Payments are never deleted: the description and customer link are removed, and the amount, status, dates and processor ids are kept. Accepted or paid quotes and bookings with a payment or refund are kept with the customer's name, email, phone number and notes removed; quotes also lose their title and line descriptions. Clearing the automation activity feed hides entries and removes their detail, but the send record (type, channel, status, recipient number and time) is kept for 4 years. Deleting a customer never deletes their consent or opt-out records, and deleting a call keeps its usage and billing records.
Call transcripts, messages, RaimVoice voice sessions and reply drafts, and the automation activity feed can each be kept until deleted (the default) or removed automatically after 30, 90 or 365 days; these settings never shorten legally required retention.
Settings, Data & privacy, Download my data prepares a JSON file of every category plus CSV files of customers and calls, including RaimVoice voice sessions and reply drafts in the JSON. It never includes passwords, tokens or other credentials, uploaded files or voice audio. Owners can start one download per hour, are told in the app and by email when it is ready, get download links that work for 15 minutes (a fresh link can be requested), and the files are deleted after 7 days. A single category can also be downloaded on its own.
